This privacy statement applies to personal data processed by Vose Software BV in connection with www.vosesoftware.com and related interactions with us, including trial requests, purchases, product registration and licensing, technical support, demos, events, training, white papers and marketing communications. It does not apply to third-party websites that we may link to or to services for which we provide a separate privacy notice.

You can visit most pages on our site without giving us any information about yourself. We collect personal data only in the situations below.
Trial downloads and trial registration. When you download or register a trial version of one of our products (such as ModelRisk, ModelChoice or Tamara), we ask for your name, email address, company and country. We use this data to send you an activation code, verify that you are using a legitimate installation file, provide technical support during your evaluation, follow up to ask how the trial is going and whether you have experienced any problems, and prevent misuse of the trial programme (for example, repeated trial registrations). These trial follow-ups are intended to support your evaluation and are not sales or marketing communications. Legal basis: performance of a contract (providing and supporting the trial you requested, Art. 6(1)(b) GDPR) and our legitimate interest in supporting trial evaluations and preventing trial misuse (Art. 6(1)(f) GDPR).
Purchases. When you purchase a product, we collect the data needed for the order, invoicing and delivery: name, company name, address, telephone number, email address and VAT number where applicable. We do not collect or store your credit card details; payment details are entered directly with our payment service provider. Legal basis: performance of a contract (Art. 6(1)(b) GDPR) and compliance with our legal obligations under Belgian accounting and tax law (Art. 6(1)(c) GDPR).
Product registration and licensing. When you register a purchased product, we keep your registration details on file so we can identify you for technical support, upgrades and licence management, and so we can send you service messages about the product you use (such as security notices and update notifications). Legal basis: performance of a contract (Art. 6(1)(b) GDPR) and our legitimate interest in keeping customers informed about the products they use (Art. 6(1)(f) GDPR).
Newsletter and marketing communications. If you subscribe to our newsletter or agree to receive product news, special offers or event invitations, we use your name and email address for that purpose. Legal basis: your consent (Art. 6(1)(a) GDPR). Where permitted by applicable Belgian law, we may also send existing customers information about our own similar products or services without obtaining separate marketing consent where the conditions of the existing-customer exception are satisfied. For GDPR purposes, such processing is based on our legitimate interests (Art. 6(1)(f) GDPR). Every marketing message contains an unsubscribe link, and you can unsubscribe or object to direct marketing at any time, free of charge.
Events, training, demos and white papers. When you sign up for an event or training, request an online demo or presentation, or download a white paper, we collect your name, email address, company and country to deliver what you requested and to follow up on your request. Legal basis: performance of a contract or steps prior to a contract (Art. 6(1)(b) GDPR) and our legitimate interest in responding to and following up on your request (Art. 6(1)(f) GDPR).
Technical support. When you contact our support team, we process your contact details, licence information and the content of your request in order to help you. Legal basis: performance of a contract (Art. 6(1)(b) GDPR).
Website usage and cookies. See section 8 below.
Information you are required to provide. Where a field is marked as required, we need that information to provide the relevant service or fulfil the relevant legal or contractual requirement. For example, certain information is required to provide a trial licence, process a purchase, issue or manage a licence, provide support or comply with invoicing and accounting obligations. If you do not provide required information, we may be unable to provide the relevant product or service.
We do not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects.
We do not keep personal data longer than necessary for the purposes described above. Because the appropriate storage period depends on the situation, we use the following criteria to determine it:
Trial registration data is kept for the duration of your trial and afterwards for as long as reasonably necessary to provide support on your evaluation, follow up on how the trial went and any problems you experienced, and prevent misuse of the trial programme. We review stored trial records at least once a year and delete or anonymise records that are no longer needed for these purposes. Your trial data is deleted earlier if you ask us to delete it or object to further processing, unless we have a legal reason to retain it.
Customer and licensing data is kept for as long as you hold a licence to one of our products and for as long as necessary afterwards to handle support obligations, warranty claims and legal claims.
Invoicing and order data is kept for the period required by Belgian accounting and tax legislation.
Newsletter data is kept until you unsubscribe or until we discontinue the newsletter.
Support correspondence is kept for as long as needed to resolve your request and to document recurring issues, after which it is deleted or anonymised.
When data is no longer needed under these criteria, we delete it or irreversibly anonymise it.
We do not sell your personal data and we do not share it with third parties for their own marketing purposes. We share personal data only with:
Service providers and other recipients that help us operate our business and provide our services, such as website hosting providers, email and newsletter platforms, payment service providers and licensing/activation providers. Where these providers process personal data solely on our behalf, they act as processors and are subject to data processing agreements in accordance with Art. 28 GDPR. Some service providers may process personal data as independent controllers for their own legal or regulatory purposes, in which case their own privacy terms apply.
Public authorities where we are required to do so by law, or where disclosure is necessary to establish, exercise or defend legal claims, or to protect the safety of our employees, users or the public.
Where our service providers process personal data outside the European Economic Area, we ensure appropriate safeguards are in place, such as an adequacy decision of the European Commission (including the EU–US Data Privacy Framework where applicable) or the European Commission's Standard Contractual Clauses.
